What I do with your information

The short version is that I collect what I need to quote for your job and run it, I keep it while there is a reason to, and I do not pass it on to anyone else.

What I collect

Your name, email address, phone number and whatever you tell me about the job, either through the enquiry form on this site or in emails between us. If the job goes ahead, that extends to what is needed to invoice you.

What I use it for

Quoting, running the job, invoicing, and staying in touch about that job. Nothing else. I do not sell it, and there is no mailing list to be added to.

The software behind a job

Running a job means using ordinary business software: email, calendars, invoicing, cloud storage, file transfer, and the tools I use to write, organise and get work out the door. Some of these services are based overseas, and accepting a quote includes agreeing to that. They are used only to run your job, and I do not pass your details on to anyone else.

Your footage is different

It goes into the editing software and out to the delivery service named on your quote, and nowhere else. Where I use the editing software’s own captioning to transcribe an interview, that happens inside the software rather than being handed to another company.

Cookies and analytics

This site uses Google Analytics to count visits and see which pages get read. It sets cookies in your browser and sends that information to Google, including to servers overseas. It tells me things like which pages people actually read and roughly where visitors are. It does not tell me who you are.

The site is hosted by Netlify, and like any web host its servers keep a record of requests, including IP addresses. That happens whether or not anyone looks at it, and it is there to run and secure the site.

You can switch Google Analytics off for every site you visit using Google’s own opt-out add-on, or by blocking it in your browser. Nothing here stops working if you do.

Video and photographs of people

Footage of a recognisable person is personal information too. What I deliver is yours to keep. The raw footage behind it is held for 90 days after delivery, unless archive storage is named on your quote, and then it is deleted. Finished work may appear in my portfolio, which is covered in the terms, and you can ask for it to come down at any time.

How long I keep things

Job records and invoices are kept while there is a reason to, including what tax and accounting require. Raw footage goes at 90 days, as above. Enquiries that do not turn into jobs get cleared out periodically.

Seeing it, or correcting it

Under the Privacy Act 2020 you can ask what I hold about you and ask me to correct it. Email hello@declangale.com and you will hear back within three working days. If you are not happy with how I have handled it, you can raise it with the Office of the Privacy Commissioner at privacy.org.nz.
